This Privacy Notice explains how HamroRentals ("we", "us", "our") collects, uses, shares, and retains personal information about US users of our platform at /us and the us.hamrorentals.com subdomain. It supplements our US Terms of Service. For state-specific rights (CA, CO, CT, VA, UT, TX, OR, and others), see Section 9.

1. Categories of personal information we collect

  • Identifiers: name, email, phone, mailing address, account credentials (hashed), device identifiers, IP address.
  • Government identifiers: last 4 digits of Social Security number, date of birth, and government-ID references used to verify your identity for rental screening.
  • Financial information: income, employer, pay stubs or W-2 / 1099 references, bank-statement summaries you upload, payment-method tokens via Stripe (we do not store full card numbers).
  • Rental history & screening data: prior addresses, landlord references, eviction history, lease records, on-time-payment history, and consumer reports returned by our screening partners (credit, criminal, eviction).
  • Tenancy-related sensitive information: household composition, accessibility needs, and housing-voucher / Section 8 status (only when you choose to provide it).
  • Communications: messages between tenants, landlords, and brokers; support tickets; uploaded documents.
  • Usage & device data: pages viewed, listing interactions, approximate location from IP, browser/OS, cookies and similar technologies.

What we do not collect: we do not ask for your full SSN, race, religion, national origin, familial status, disability, or other Fair Housing–protected characteristics for screening. If a landlord or applicant submits this information anyway, we redact and discard it.

2. How we use it

  • Provide and operate the Service (accounts, listings, applications, leases, messaging).
  • Run identity, credit, criminal, and eviction screening through FCRA-regulated partners, only after you authorize the check.
  • Compute and display our two-way rental-history reputation score to you and to prospective landlords on the platform.
  • Process payments and prevent fraud.
  • Comply with legal obligations (tax, anti-fraud, lawful requests, Fair Housing recordkeeping).
  • Improve the Service, debug, and secure our systems.
  • Send transactional and, with your consent, marketing communications.

We do not sell your personal information, and we do not use it for cross-context behavioral advertising or to train third-party AI models.

3. Background checks & FCRA

When you apply to a unit, you may authorize us and our screening partners to obtain consumer reports (credit, criminal background, eviction history, identity verification) under the federal Fair Credit Reporting Act (15 U.S.C. § 1681 et seq.) and applicable state analogs. These checks happen only after a clear, conspicuous, written authorization specific to the application.

Your rights under the FCRA include:

  • Receive a copy of any consumer report obtained about you.
  • Dispute inaccurate or incomplete information directly with the consumer reporting agency, who must investigate (typically within 30 days).
  • Receive an adverse-action notice if a landlord declines, conditions, or charges you more based on a consumer report — including the agency's name, address, and phone number, and a statement of your rights.
  • Place a security freeze or fraud alert on your credit file with the nationwide bureaus at no cost.

Our screening partners are the consumer reporting agencies for the underlying reports. Direct disputes about the contents of a report to that agency; for disputes about events recorded by HamroRentals itself (e.g., a landlord-reported missed payment), email disputes@hamrorentals.com.

4. Fair Housing data handling

We design the Service to comply with the federal Fair Housing Act and state/local equivalents. Screening questions do not ask for protected characteristics. Where state or local "ban-the-box" or fair-chance housing laws restrict the use of criminal-history information, we sequence those checks accordingly and surface the required disclosures. Aggregate, de-identified Fair Housing audit data may be retained to demonstrate non-discrimination but is not used to evaluate individual applicants.

5. Who we share information with

  • Landlords / property managers identified in your application — limited to the data needed to evaluate tenancy.
  • Screening partners (e.g., consumer reporting agencies) — to run the checks you authorized.
  • Payment processor Stripe — to take payment and prevent fraud.
  • Infrastructure and analytics vendors (hosting, email, error monitoring) under written data-protection agreements.
  • Legal & safety: when required by law, subpoena, or to protect rights, safety, and property.
  • Successors in a merger, acquisition, or asset sale, subject to this Notice.

We do not sell personal information and do not share it for cross-context behavioral advertising.

6. Retention

After the retention period, data is deleted or irreversibly de-identified. Where law requires longer retention (e.g., active litigation hold, tax audit), we retain the minimum data needed for that purpose.

7. Security

We use encryption in transit (TLS) and at rest for sensitive fields, role-based access controls, audit logging, and vendor due diligence. Access to consumer-report data is restricted to staff with a documented permissible purpose under the FCRA. We will notify you of a breach affecting your personal information as required by applicable state breach-notification laws.

8. Cookies & tracking

We use strictly-necessary cookies for authentication and security, and limited first-party analytics. We do not use cross-site advertising trackers. Global Privacy Control (GPC) signals are honored as a valid opt-out of "sale" or "sharing" in states that recognize them.

9. Your US state privacy rights

Depending on where you live (e.g., California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, Delaware, New Jersey, and others), you may have the right to:

  • Know / access the personal information we hold about you.
  • Correct inaccurate personal information.
  • Delete personal information, subject to legal-retention exceptions (e.g., signed leases, tax records).
  • Portability — receive a copy in a portable format.
  • Opt out of sale, sharing for cross-context behavioral advertising, or profiling with legal/similarly-significant effects. We do not engage in any of these activities.
  • Limit use of sensitive personal information.
  • Non-discrimination for exercising your rights.
  • Appeal a denial of a request (where state law provides).

How to exercise rights: email privacy@hamrorentals.com with the subject line "US Privacy Request" and the state you reside in. We will verify your identity using information already on file and respond within 45 days (extendable once by 45 days where permitted). An authorized agent may submit a request on your behalf with written authorization.

California "Shine the Light" (Cal. Civ. Code § 1798.83): we do not share personal information with third parties for their direct marketing.

10. Children

The Service is not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child has provided us information, email privacy@hamrorentals.com and we will delete it.

11. International transfers

We operate globally and may process personal information in countries other than your own, including for support and engineering. We use contractual safeguards consistent with applicable law for those transfers.

12. Changes

We may update this Notice. Material changes will be communicated by email or in-app notice at least 14 days before they take effect (except where a shorter period is required by law).
